Anti-Spam & Email Policy

RankForge Technologies Pvt. Ltd. is committed to responsible email practices and full compliance with the US CAN-SPAM Act, Canada's CASL, the EU GDPR, and India's Digital Personal Data Protection Act, 2023 (DPDP Act). This policy explains what email we send, how we obtain consent, and how recipients can stop receiving messages.

1. Types of Email We Send

  • Transactional: account verification, password resets, billing receipts, and security alerts. These are required for the service to function.
  • Product notifications: ranking-change alerts and audit-completion notices that the account owner explicitly enables in their dashboard.
  • Scheduled reports: SEO performance reports that account owners schedule to recipients who have opted in to receive them.

We do not send unsolicited bulk email, purchase email lists, or send marketing messages to people who have not given consent.

2. How We Obtain Consent

  • Users create an account and verify their own email address via a confirmation link (double opt-in).
  • Report recipients added by an account owner receive an initial confirmation email and must opt in before recurring reports are sent.
  • Account owners are contractually required (per our Terms of Service) to have a lawful basis and recipient permission for any address they add.

3. Unsubscribe & Opt-Out

Every non-essential email includes a clear, one-click unsubscribe link in the footer. Opt-out requests are processed automatically and immediately. Recipients may also visit our Unsubscribe page or email unsubscribe@rankforge.site at any time. We honour all opt-outs within 24 hours (well inside the 10-day CAN-SPAM requirement).

4. Bounce & Complaint Handling

  • We process bounce and complaint notifications in real time via Amazon SNS feedback notifications.
  • Hard bounces are immediately suppressed and never emailed again.
  • Spam complaints result in immediate, permanent suppression of that address.
  • We maintain a global suppression list that is checked before every send.
  • We monitor our bounce and complaint rates daily and keep them well below Amazon SES thresholds (bounce < 5%, complaints < 0.1%).

5. Authentication & Deliverability

  • All outbound mail is authenticated with SPF, DKIM, and DMARC.
  • We send from verified, dedicated sending domains under rankforge.site.
  • List hygiene is performed continuously to remove inactive and invalid addresses.

6. Email Content Standards

  • Accurate "From," "Reply-To," and routing information.
  • Non-deceptive subject lines.
  • A valid physical postal address in every email.
  • Clear identification of the message as a report, alert, or transactional notice.

7. Reporting Abuse

If you received an email from RankForge that you believe was unsolicited, please contact abuse@rankforge.site. We investigate every report and take immediate action, including suspending any customer who violates this policy.

Sending infrastructure: RankForge uses Amazon Simple Email Service (Amazon SES) to deliver email. We adhere to the AWS Acceptable Use Policy and Amazon SES sending guidelines.
